Simply start working on an item by dropping on the “Drop here to work on” area at the top of the screen (or right click a project or task and choose “Work on”). When you start working on something else the timer on the previous task will automatically stop and a new one will start. If your business is like most small businesses you have many clients. Each client likely has a different billable rate. In this article I will show you how to track billable client time with different rates so your billing at the end of month (or other time period) is accurate. 

First lets make sure you have some clients in Klok. For this example I am going to create 3 clients, Client 1, Client 2 and Client 3.  The billable rates for each client are as follows:

  • Client 1 – $25 per hour
  • Client 2 – $50 per hour
  • Client 3 – $75 per hour
Add new clients
First Add Each Client in Klok

Set the Billable Rate for Each Client

To set the rate for each client please follow these steps. First double click the first client. The properties for that client will open on the right hand side of Klok.

Change the Billable Rate

As shown above change the “Value of Project (based on hourly rate of)” amount to your hourly rate for this client or project. Also remember to check the box for Billable so your time tracked against the client will show the correct amount in your time sheet. 

Do this for each of your clients to reflect your billable rate for each client.

Track Time for Each Client

To keep this simple lets assume that we worked one hour for each of these clients during the week.

View your Time Sheet

At the end of the week when I send invoices, how much did I earn this week?

Lets look at my weekly time sheet. In the bottom left hand side of Klok click the link that corresponds to the time period you would like a time sheet for. In this case I am going to click on the  “This Week” link. It will display my time sheet for this week showing I have worked three hours in total for three different clients each with a different billable rate.

As you can see from the above time sheet I have worked 3 hours for a total billable amount of $150.  You can now print this time sheet or export the time sheet in Excel format.  Personally I use this at the end of every month for monthly billing. I can easily get an idea of what I earned during the month.  Now, getting all of the clients to pay their invoices on time is a different story.

]]> The only option to change the font size in Klok Pro is to use one of the “Big Font” skins. To change to one of these skins in Klok click on the TOOLS menu then PREFERENCES menu item then click on APPEARANCE. The options to change skins is on the right side of the Klok window. Simply click on the desired skin. Klok will restart and refresh the screen with the selected skin. NOTE: This is only available in the paid Klok Pro version.

Please follow the steps below if you are experiencing issues importing from Google Calendar.

1. Revoke access to Klok from your Google Account – Follow steps in this Google Support Article titled ‘Managing your applications on your desktop.

2. In Klok, go to ‘Tools->Preferences->Third Party Integration’ and click the ‘Forget Stored Credentials’ button for Google.

3. Close Klok.

4. Start Klok.

5. In the Week View calendar, open the ‘Import From’ drop down list (located in the top right corner of the application) and select ‘Google Calendar’.

6. A browser window (tab) will open with a request from Klok asking permission to access your Google Calendar.

7. Click ‘Accept’ and copy the authorization key code provided by Google.

8. Switch back to Klok and paste the code in the authorization key text field and click ‘OK’.

9. Select the calendar which you’d like to import from and click ‘OK’.

Klok tracks time by storing individual time entries. Each entry must consist of a start and end time. 
 
Users have the following options to manually create a time entry of a specific duration in Klok.
 
Week View
The quickest way to create a manual time entry is to click and drag a project from the project tree list onto the week view and then adjust the start and end time to reflect the appropriate time duration.
 
Time entries can be manually adjusted within the Week View calendar by either…
  –  Clicking and dragging the handle at the top or bottom of the time entry
  –  Double clicking the time entry to open the edit mode window (bottom of the calendar)
        –  Adjust the start and stop times.
        –  Click ‘Update’ to save the time entry.
 
Project View
Another option to manually create a new time entry is in the Project View.
  –  Double click the project in the project tree on the left.
  –  Select the Time Entries tab.
  –  Click the ‘Create New Entry’ button at the bottom of the Time Entries panel.
  –  The time entry Edit mode window will open at the bottom of the screen.
  –  Choose the time entry start and stop times.
  –  Click ‘Update’ to save the time entry.

Time entries can be duplicated by performing the following when Klok is in Week View. 

 

 – Click the Week View menu option to view the calendar

 – Press and hold the ALT key prior to selecting a time entry in the calendar

 – Click and drag an existing time entry from the Week View to a new time slot on the calendar

 – A copy of the selected time entry will be created in the desired calendar location once it is released

 

* Note: Performing these steps without first pressing and holding the ALT key will result in the time entry being moved to the new calendar location as opposed to making a copy.

Follow the instructions below to reset the application window location when Klok starts. 

– Close Klok if it is running (stop the application in task manager)
– Make a copy of the existing config.xml file to have as a backup before editing the file in the next step ( * see below for file location)
– Open the config.xml file and locate the following lines which define the application window position (the numbers will be different in your file)
 
  <window-width>1124</window-width>
  <window-height>808</window-height>
  <window-x>154</window-x>
  <window-y>22</window-y>
 
– You can either
    – Change the values to the values shown above or…
    – Delete the lines from the file (the values will be recreated in the file the next time you start Klok).
– Save the file
– Restart Klok
 
 
* The default location of the config.xml file is different depending on your operating system. Please note, in the example file paths shown below, the characters listed to the right of the decimal after Klok2 are unique for each user install.
 
Windows: C:\Users\[User Name]\AppData\Roaming\Klok2.DD7F2188B985C2439837C76B42A187050457E61B.1\Local Store
    Note: The ‘AppData’ folder is often a hidden folder, requiring you to manually type the path in the Windows Explorer file manager utility.

Follow the instructions below if the Week View vertical display scroll bar adjustment triangles (located on the top and bottom of the scroll bar) appear to be overlapping each other causing the Week view display to show only 1 hour of time (i.e. 12am to 1am). 

– Close Klok.
– Make a copy of your current Klok config.XML file (folder location show below) and paste the file it in the same folder.
– Rename the copy to include today’s date for future reference (i.e. config – 05142014.XML).
– Open the main config.XML file using a text editor such as WordPad.
– Change zoom start and zoom stop so the week view will display between 8am and 5pm as shown below (attached file contains another example showing location highlighted in yellow).

   <zoom-start>8</zoom-start>
   <zoom-end>17</zoom-end>

– Save the file (file name should be config.XML).
– Restart Klok.
 
 — Config.XML Default Location —
The default location of the config.XML file is different depending on your operating system. Please note, in the example file paths shown below, the characters listed to the right of the decimal after Klok2 are unique for each user install.
